Minimum Requirements
Education & Qualifications

  • Matric certificate.
  • Logistics Warehousing certification advantage.
  • Graduate or in Final Year studie.

Knowledge

  • Receiving and despatch principles and procedures.
  • Warehlouse-based business processes and practises.
  • SAP knowledge is important to the role, particularly when standing in for the Despatch Supervisor.

Skills

  • Literacy.
  • Numeracy.
  • SAP skills an advantage(Vector SAP or RCL Consumer SAP) when applying for the position.

Experience and Training

  • 1 years’ relevant experience in a store or warehouse environment.

Duties & Responsibilities
Checking Paperwork against GRN and POD

  • Making sure that all paperwork send to RCL Foods customers are receipted and return to dispatch as proof of delivery. Sorting according to their shipment and handed over to finance for reconciliation daily.
  • Sort and Filling of all dispatch document according to their category.
  • Update all systematically file such as Seal register, Equipment Control Sheet and equipment recon daily.
  • Checking and Despatching of Stock
  • Before loading the vehicle, adhere to checklist for the vehicle and check that the: Vehicle is clean
  • Pre-cooling has been done
  • Temperature spec control has been checked to be at correct temperature
  • Ensure that the vehicle that is being used has the required space for the load bars to be loaded correctly
  • Ensure that the vehicle is the correct height to ensure it meets the customer requirements for off-loading
  • Check that the picked stock matches against that to be loaded for accuracy against the customer’s order, and correct any loaded variances / disparity.
  • Ensure that stock to be despatched is done in an efficient, compliant and timely manner and ensure the correct snake loading procedures are followed.
  • Once the truck is confirmed as accurately loaded, close the truck doors and seal the truck with a numbered seal
  • This seal number should then be recorded against a fleet number for the truck in a seal register.
  • Collates completed loading documents for capturing into the system (eg: SAP )
  • Records loading start and finish times to determine how long things are taking for checking and loading of vehicles, and reports to the Despatch Supervisor any loading delays that may impact the ability to despatch on time.
  • Record pallets and all other returnable packaging despatched onto the truck.
  • Assist the Trip Recon process by ensuring that all required documents are provided daily to the Despatch Supervisor, who in turn will check and pass on the site financial team who will complete the actual Trip Recon.
  • The documents required for Woolworths are: Trip Sheet; Signed Delivery Notes; Consignment Note; Acceptance of stock printout from Woolworths

Accepting Stock from Production

  • Accept stock from production by:
  • Checking that lugs are packed correctly
  • Lugs are stacked correctly onto dollies
  • Dollies are packed full where possible
  • Different stock for different customers and regions are not mixed
  • Stock have been checked by QC
  • If there is stock that needs to be returned to production, isolate it in readiness for quality to check before sending back.

Accepting Stock from Outside Storage facility

  • Stock is sometimes required to the held at offsite facilities, particularly in peak periods. This stock may be returned to the site for defrosting and despatching on to the customer, along with other stock that has been produced on site.
  • Responsible for receiving this stock and ensuring that this matches that which is on the paperwork required.
  • Complete visual checks for damages
  • Advise the Planning and MRP Co-ordinator that stock has been received and provide copies of documentation to them to enable them to continue with the planning of orders.

Stock Take and Housekeeping

  • Responsible for checking that stock is placed in the correct places within the despatch area to make stock count as easy as possible.
  • Ensure high levels of housekeeping are maintained and that any issues are reported to the Despatch Supervisor.
  • Assist in the stock count process as required monthly or in weekly cycle counting
  • Ensure that all housekeeping and paperwork is correctly filed and stored at all times

Customer Equipment (lugs and dolleys) and Returnable Packaging

  • When customers send equipment (eg: lugs and dolleys) or returnable packaging (eg: pallets and chep crates) with the vehicle that comes to collect the stock, the despatch clerk needs to ensure that the physical items matches that which is recorded on the customer’s paperworkOn completion of checking, It should be captured on the system and relevant recons.
  • All discrepancies that cannot be resolved need to be escalated to the Despatch Supervisor

General

  • Assist in any activities or tasks as requested by the Despatch Supervisor.
  • There will also be a requirement to work overtime and/or on weekends in order to do deliveries or assist the despatch team with onsite tasks
  • As required, the Despatch Supervisor may delegate his Supervisory tasks and system transactions to the Despatch Clerk during overtime or weekend work.

Safety and Security

  • Comply with applicable company policies including health, safety, environment, risk and quality, including HACCP/ISO.
  • Conduct housekeeping in accordance with standard operating procedures.
