The South African Civil Aviation Authority (SACAA) is a Schedule 3A public entity in terms of the Public Finance Management Act (“PFMA”). It was established on the 1st of October 1998, following the enactment of the now repealed South African Civil Aviation Authority Act,1998 (Act No.40 of 1998). The Act provided for the establishment of a stand-alone authority charged with promoting, regulating and enforcing civil aviation safety and security. It reflected the Government's priorities and was in line with international trends in the aviation world where more and more states implemented this option.

Position Overview

As an Administration Officer, you will be the key point of contact for both internal and external clients, providing essential administrative and clerical support to the management and staff within the department. Your role will be crucial in ensuring the smooth running of daily operations and administrative processes.

Key Responsibilities

As the Administration Officer, you will have a wide range of duties aimed at supporting the department’s functions. These include:

General Administrative Functions:

  • Diary Management: Assist management by scheduling meetings, coordinating departmental events, and managing calendars using the organization’s electronic tools.
  • Document Preparation: Prepare and compile departmental documents, reports, and presentations.
  • Report Collation: Gather and organize information for report preparation, ensuring timely delivery and accuracy.
  • Documentation Management: Manage the documentation for meetings, functions, and engagements, ensuring it is properly packaged, circulated, and recorded.
  • Filing and Record-Keeping: Maintain a proper filing system for easy access and retrieval of documents. Screen, classify, and track documents for improved organizational efficiency.
  • Meeting Coordination: Organize and support departmental meetings, prepare and circulate minutes, and assist in other related functions.
  • Budget Coordination: Support in preparing the department’s budget and monitoring expenditure, ensuring cost-effectiveness.
  • Travel Arrangements: Handle both domestic and international travel arrangements, including submitting approval requests, managing allowances, and organizing all related logistics.

Office and Stakeholder Management:

  • Consumables Control: Manage office consumables and coordinate with the Procurement Department for stock management.
  • Asset Management: Coordinate the allocation, delivery, and management of assets required for the department.
  • Project Monitoring: Track progress on departmental projects, providing reports on milestones and outcomes.
  • Stakeholder Communication: Ensure timely and appropriate communication with both SACAA staff and external clients. Address enquiries via telephone, email, or in-person interactions.

Educational Requirements

  • Minimum:
    • Grade 12 with a certificate in Office Administration or a relevant qualification.
  • Ideal:
    • A Diploma in Office Administration or Office Management is preferred.

Experience Requirements

  • 1-3 years of administration experience is essential for this role, providing you with the skills and knowledge to perform effectively in a fast-paced, professional environment.
