Job Description
Support project and programme management activities within the PMO. Facilitate the smooth operation of the PMO by managing documentation, maintaining PMO templates and standards, coordinating project activities, and ensuring compliance with established processes and standards.
WHAT YOU WILL DO:
- Administrative Support: Provide administrative assistance to the PMO, including scheduling meetings, preparing agendas and maintaining project documentation,.
- Project Coordination: Travel and accommodation bookings.
- Reporting: Consolidate and review project status reports, dashboards, and distribute to stakeholder. Resource contract reports. Update Lessons Learnt log
- Document Management: Ensure all project documents are accurately maintained, version-controlled, and stored securely according to organisational standards.
- Process Compliance: Monitor adherence to PMO processes, methodologies, and templates across projects.
- Resource On-and-offboarding: For project resources and vendors, ensure system access is managed, hardware allocation and onboarding on PMO methodology.
- Risk and Issue Tracking: Maintain over-arching PMO logs of risks, issues, and actions, and follow up with responsible parties to ensure timely resolution.
- Stakeholder Communication: Facilitate effective communication among project teams, stakeholders, and external partners.
- Budget Management: Generation of PMO Purchase Orders and related invoices. Generate Purchase Orders for IT. Log Travel expense claims.
- Continuous Improvement: Assist in identifying opportunities to enhance PMO processes and tools, and maintain templates and documentation
Minimum Requirements
- Diploma or Degree in: Business Administration, Project Management, Commerce, Information Technology Or related field
- Experience with Project management tools (MS Project, Jira, Power BI etc)
Experience
- 2–5 years experience in: Project administration PMO support, Business coordination, Governance reporting
- Exposure to structured project methodologies
- Experience maintaining project documentation and trackers
- Basic budget tracking exposure
- Vendor coordination exposure (advantageous)
