Job Overview

Redefine Properties is seeking a proactive and detail-oriented Assistant Facilities Manager to support the management, maintenance, and operational performance of its property portfolio in Roodepoort, Gauteng. This role is ideal for candidates with facilities management experience, a technical background, and a strong understanding of property operations.

The successful candidate will work closely with the Centre Manager, Portfolio Facilities Manager, and Property Managers to ensure buildings are well-maintained, compliant with health and safety regulations, and capable of delivering excellent experiences for tenants and visitors.

Key Responsibilities

Facilities and Maintenance Management

  • Assist in the day-to-day management of all site facilities.
  • Coordinate maintenance services, repairs, and inspections of buildings and equipment.
  • Support preventative maintenance programs to minimize downtime and operational disruptions.
  • Monitor building systems and ensure equipment operates efficiently.
  • Maintain accurate records of inspections, maintenance schedules, and service reports.

Project Coordination

  • Assist in planning and overseeing refurbishment and improvement projects.
  • Ensure projects are completed within approved budgets and timelines.
  • Coordinate contractors, suppliers, and maintenance teams during project execution.
  • Monitor project quality and compliance with company standards.

Vendor and Contractor Management

  • Manage service maintenance agreements and contractor performance.
  • Obtain quotations from suppliers and service providers.
  • Prepare work orders and monitor service delivery.
  • Ensure contractors comply with health, safety, and operational requirements.

Budget and Cost Control

  • Assist in preparing annual operational budgets and business plans.
  • Monitor building expenditure and maintenance costs.
  • Work with procurement teams to identify cost-saving opportunities.
  • Support financial reporting and budget tracking activities.

Tenant and Customer Support

  • Assist with tenant installation and fit-out processes for new and renewed leases.
  • Build and maintain positive relationships with tenants and stakeholders.
  • Ensure tenant expectations are managed effectively and service standards are maintained.

Health, Safety and Compliance

  • Ensure compliance with occupational health and safety regulations.
  • Conduct regular inspections and identify potential risks.
  • Support the implementation of safety procedures and corrective actions.
  • Maintain documentation related to compliance requirements.

Administrative Support

  • Prepare operational and maintenance reports.
  • Maintain facilities documentation and records.
  • Support the Centre Manager and Portfolio Facilities Manager with administrative duties and special projects.

Minimum Requirements

Educational Qualifications

Essential:

  • Grade 12 (Matric)
  • Building-related trade certificate

Advantageous:

  • Qualification in Facilities Management or a related field

Experience

Essential:

  • Minimum 2 years’ experience in Facilities Management
  • Exposure to both technical and management aspects of property operations
  • Experience working within commercial, retail, office, or industrial properties
  • Knowledge of MDA Property Management Software
